Administrative Office Assistant

Northern California’s leading sales, marketing, and merchandising food broker is looking for a qualified and experienced Administrative Office Assistant for our office in Novato, CA.

This position will provide support to our President, Vice President, Account Executives and staff and will assist with daily office administration and sales support activities.

We are looking for an energetic self starter with a strong work ethic and solid time management skills. The ideal candidate will ensure the efficient and smooth day-to-day operation of our office, possess strong computer skills, enjoy interacting with customers and fellow employees and be an independent worker that is proactive outside of a team setting.

  • Multiple and varied administrative duties will be a part of each day so the willingness to help where needed and ability to multi-task are vital
  • Extensive administrative and clerical duties for various departments including reception, email, data input, printing, scanning and handling weekly mailings
  • Ensures team has the proper documentation and/or product information to make presentations, process promotions, and set up perspective new items in customer portals
  • Strong computer skills in PowerPoint, Excel, Outlook, and Word are required
  • Managing office systems and general office organization
Job Duties:
  • Handles front office duties including welcoming visitors and receiving deliveries
  • Follows all requirements to process documents with customers and clients
  • Builds promotions per promotional calendars provided by account executives or executives
  • Assists with order entry of purchase orders
  • Provides data and reports to the sales team
  • Exerts attention to detail and accuracy
  • Deals with time sensitive documents and ensures they are processed in a timely manner
  • Monthly mailings requiring large format printing job
  • Handles necessary administrative work including filing, calendaring, arranging outgoing shipments, managing and ordering inventory, in addition to other administrative duties
  • Receive, unpack, and log incoming packages and sample deliveries. Physical requirements include ability to move boxes weighing up to 45lbs
  • Generates and processes sample requests for sales team
  • Maintains organization and upkeep of the office
  • Set up conference room meetings in person and virtually
Work closely with Headquarter office based in Southern California under the direction of Vice President, Corporate Business Services Job Type: Full-time

Pay: $25.00 - $27.00 per hour
